SEND OFFS AND RETURN CHAPEL PROCEDURE
A. Each Rollista should have filled out his/her Rollista Request Form prior to the weekend. Share music requests with the Music Director in advance to make sure music is available. Music must be from the teal song book or something that is “Public Domain”.
Notify Prayer Partners in advance that they have been selected by a Rollista. Let them know they will be participating in the sendoff and return. This can be discussed at morning team meetings.
1. Check with the Palanca Spiritual Directors as to Send Off Schedule etc. to make sure a Spiritual Director will be present for each send off and return.
2. Each morning coordinate with the Mail Room Leader to make sure Rollista send off mail will be at the send off area.
3. Coordinate with Assistant Rector and the Rollista on the use of the microphone to be used during the talk.
4. For each rollo, check with the Assistant Rector concerning the schedule for each Rollo. Be flexible. Allow 15 minutes for the sendoff. Check the schedule to know what is taking place immediately prior to each rollo. Keep the rollista in the Chapel until the rollo room is ready for the presentation. It is better to do the send off early than be late and hold things up.
5. A sendoff team should consist of 4 to 5 people - the Prayer Partner, one Spiritual Director, yourself, a music team member, and possibly one additional person.
a. If the rollo is near mealtime, coordinate with Dining Room Leader to have the Rollistas meal available when needed.
b. Remind the rollista of the time s/he should be dressed and ready for the sendoff. Check to see if Assistant Rector has the Rollistas notes. Ask if there is anything that the Rollista needs help with.
c. Give the send off time to the music team. Make certain that the hymnals to be used and Song Books with “Spirit of the Living God" are available. Via de Cristo does not have a license to copy or print this song.
d. Give the send off time to the Prayer Partner and others who will participate.
e. Give the send off mail to the rollista or place it on the altar.
f. Light the altar candles, open Bible to requested scripture. and designate someone to read it.
g. Remind the send off team of the Rollistas first name, title of the rollo, and how the sendoff will proceed.
h. Join sendoff team and rollista in a circle, read the chosen scripture. sing the chosen song, prayer by each member, and close by singing "Spirit of the Living God."
6. When the sendoff is over check to see if the Rollo Room is ready for the Rollista. Have the Rollista escorted to the Rollo Room. An Assistant Rector may do this.
7. Extinguish candles. .
8. At the end of the Rollo, be certain that the Rollista is met at the Rollo Room door by members of the team. If a wireless lapel microphone is used, make sure it is OFF and remove it from the Rollista. Give the Rollista words of encouragement and escort him/her to the return area for the return. (An Assistant Rector may oversee this.)
9. For the Return
a. Enter the return chapel, light the altar candles, form a circle, and each member of the return team offers a prayer of thanks with the Rollista given the opportunity to complete the prayers.
b. Make sure the Rollista has their send off mail, extinguish the candles, and disburse the return team members. The Rollista may now change clothes and take their place back at their table back in the rollo room.
13. When the last Rollista for the day leaves the send off and return areas, check to see that no candles are burning, that trash has been picked up, and the lights are turned off.
